On behalf of our client, Manitoba Association of Landscape Architects (MALA), we are looking for a part time Executive Assistant to provide critical administrative and operational support to ensure the Association’s smooth functioning and excellent membership services. With a bookkeeper managing financial duties, the EA role focuses on organizational efficiency, communication, and member engagement. This position reports directly to the President or other designated members of the Executive Council.
The ideal candidate will be a strategic thinker, process oriented, highly organized with strong time management skills. If you are a motivated professional with the ability to communicate and build relationships, we want to hear from you!
As the Executive Assistant, you will:
- Organize and facilitate Council meetings, Annual General Meetings, and special meetings, including preparing agendas, taking minutes and distributing documents
- Maintain an organized and up-to-date digital filing system
- Handle correspondence on behalf of the Council and maintain professional communication with members, external organizations and the public
- Assist with the preparation of reports, presentations and documentation
- Oversee membership processes, including application management, issuing and certificates and seals, and maintaining accurate membership records
- Coordinate with the Canadian Society of Landscape Architects (CSLA) to ensure compliance with membership requirements
- Respond to membership inquiries, providing prompt and professional support
- Assist in developing and implementing member engagement initiatives
- Support financial processes by ensuring accurate record-keeping and timely communication with the bookkeeper
You and Your Experience:
- Proven experience in an administrative or support role, preferably within a non-profit or professional association
- Diploma or certificate in office administration, business management or related fields, equivalent experience will be considered
- Experience with membership administration will be considered an asset
- Proficient using software applications, managing digital content, and adapting to new technologies
- Excellent written and verbal communication skills
- A strategic thinker with strong planning and organizational skills
